Why Your Planner Isn’t Making You More Productive

Have you ever purchased a planner thinking that it would help you get more organized and in control of your life, tasks and time, but then after setting it up exactly as you wanted it and filling it out with the details of your life, things didn’t change much?

Sure, the planner helped you remember more things you had to do which was good, but it didn’t make doing the tasks easier or quicker or make you more efficient so you had extra time left over. You had just as much to do, and the same amount of time to do it in, and so your productivity really didn’t change much. 

Unfortunately, that is what happens for most women when they purchase a planner.

You see, a planner can be a tremendous tool to help you improve your productivity, achieve your goals and find more time for the things you love, but unfortunately most planners don’t include the right system of inserts to help you manage and organize your life. 

Now, I realize that there are so many options out there in the market for you to purchase a planner, but I want you to ask yourself a question: Are there actually so many unique options, or are there a handful of the same types of planners just in different packaging?

When it comes to choosing a planner for yourself, the options are seemingly endless. 

→ You can buy a planner in nearly every size of paper you can imagine.

→ You can buy a planner in every binding option that technology allows.

→ You can buy a planner in your favorite color, pattern, fabric, personalized with your name, refillable or disposable. 

You are drowning in a sea of options, or so it seems on the surface.

If you take some time to break open most of the options out there, you’ll come to find that although many planners seem to be different because they look different on the outside, once you get inside, everything is the same but in different packaging. This is the illusion of choice brought to you by the genius of marketing, selling you the same old planner in pretty new packaging.

Most planners you can purchase on the market follow the same old, outdated system of inserts that aren’t actually helping you to become more organized or strategic with your time and tasks.

Most planners are set up for one end goal: To help you remember the never ending list of things you need to do and places you need to be.

This is what you will commonly see inside the vast majority of planners:

  • A year at a glance calendar of all the months and dates, perhaps for one to two years
  • Calendar style monthly spreads for each month of the year where you can record an important date or two in each box
  • A weekly or daily spread where you can record some tasks and create a schedule for your day
  • A few contacts and notes pages at the end

Flip through some of the planners in your stash, head down to your local office supply store or browse some planner options online, and that is the system you see over and over again inside what appears to be a variety of planners from a variety of brands.

These planners don’t improve your productivity because the system isn’t built to help you truly plan, instead, this system of inserts is meant to help you record dates and tasks. It’s a reminder system, not a planner!

We all have more to do than time to get it done in a day, so although reminders are nice so we don’t forget important things to do that could cause us issues in the future, what we actually need to become more productive, efficient and successful in our lives is a planner that actually functions as a planner.

I call this a Functional Planner.

Functional because it helps you get everything you need and want to do out of your head and onto paper so you can organize that information strategically, and then schedule and track your work to it’s successful completion.

Functional planning is based on research backed time, task and personal energy management strategy. Plus, it incorporates actual neuroscience so that as you follow through with functional planning techniques, you are actually training your brain to think more productively and strategically about your tasks and how you spend your time.

For years, I have been obsessed with the idea of Functional Planning and sharing my journey as I research, design and create functional planning tools to help you create the strategic plan for your life.

We all have endless to-do lists that seem to keep growing. Juggling multiple tasks and responsibilities can feel overwhelming, leading to stress and a loss of productivity. In this post, we’ll explore simple yet powerful techniques that will help you manage your tasks more efficiently and boost your productivity.

1. Prioritize with the Eisenhower Matrix: Use the Eisenhower Matrix, also known as the Urgent-Important Matrix, to prioritize your tasks. Categorize them into four quadrants: urgent and important, important but not urgent, urgent but not important, and neither urgent nor important. Focus on tasks that fall into the important and urgent quadrant, and delegate, schedule, or eliminate tasks from the other quadrants accordingly.

2. Break Down Tasks into Smaller Steps: Large tasks can often feel overwhelming, leading to procrastination. Break them down into smaller, more manageable steps. This not only makes them less daunting but also allows you to track progress and stay motivated as you complete each step.

3. Apply the Pomodoro Technique: The Pomodoro Technique is a time management method that involves working in focused sprints followed by short breaks. Set a timer for 25 minutes and work on a specific task with complete focus. Take a short 5-minute break after each session and repeat the cycle. This technique helps improve concentration, prevent burnout, and enhance productivity.

4. Use Task Management Apps or Tools: Leverage the power of technology by using task management apps or tools. These tools allow you to create to-do lists, set reminders, establish deadlines, and track progress. Find an app or tool that aligns with your preferences and integrates seamlessly into your workflow.

5. Apply the Two-Minute Rule: If a task takes less than two minutes to complete, do it immediately rather than adding it to your to-do list. The two-minute rule helps you tackle small, quick tasks right away, eliminating clutter from your list and preventing the accumulation of small tasks over time.

6. Employ the ABCDE Method: Prioritize your tasks using the ABCDE method. Assign an “A” to tasks that are crucial and must be completed, a “B” to tasks that are important but not as urgent, and so on. Within each category, further rank the tasks using numbers (1, 2, 3) to establish their order of importance. By organizing your tasks in this manner, you can focus on the most critical ones first.

7. Practice Time Blocking: Allocate dedicated time blocks in your schedule for specific tasks or activities. Set aside uninterrupted periods during which you focus solely on a particular task. Time blocking helps you maintain focus, avoid distractions, and ensures you allocate enough time for each task.

8. Delegate and Outsource: Recognize that you don’t have to do everything yourself. Delegate tasks to capable team members or outsource tasks that can be handled by external professionals. Delegating frees up your time and allows you to focus on higher-priority tasks that require your expertise.

9. Review and Reflect Regularly: Set aside regular intervals to review and reflect on your task management practices. Assess what’s working well and what can be improved. Identify any patterns or areas where you struggle and make necessary adjustments to optimize your task management system.

10. Celebrate Progress and Achievements: Acknowledge and celebrate your progress and achievements along the way. Give yourself small rewards for completing tasks or reaching milestones. Celebrating your accomplishments boosts motivation and reinforces positive task management habits.

Task management doesn’t have to be complicated. By implementing these simple yet effective techniques, you can regain control over your to-do list, enhance your productivity, and reduce the overwhelm that often accompanies multiple tasks. Today, I want to take you behind the scenes and provide a progress update on one of my annual goals: becoming a well-dressed woman. Initially, I planned to share this update exclusively with my mastermind sisters, but I realized that the goal and the steps I took to achieve it could be inspiring and beneficial to a wider audience. Whether you resonate with the goal or not, this post will focus on the process of defining, breaking down, and executing a personal style transformation. So, let’s dive in!

Defining the Goal
After spending a few years in sweatpants and loungewear due to the pandemic, I desired a wardrobe that aligned with my lifestyle, was budget-friendly, and reflected my personal style. The goal I embarked upon was to rebuild my wardrobe with classic pieces of good quality that would make me feel confident and help me effortlessly put together outfits each day.

Decluttering and Making Space
The first objective was to declutter my closet and make space for the pieces that truly resonated with me. I let go of anything that no longer fit, didn’t align with my aesthetic, or remained untouched for an extended period. This step was crucial to ensure that my wardrobe only consisted of items I would use and love.

Identifying and Purchasing Classic Pieces
Next, I needed to identify the specific classic pieces I wanted to incorporate into my wardrobe. To aid this process, I revisited a book called “365 Style” by Nicky Hilton, which provided a reliable framework for building a versatile wardrobe. The framework involved identifying three main occasions we consistently dress for, selecting six staple clothing items for each occasion, and incorporating five accessories for added style.

Following this framework, I curated my wardrobe based on my three main occasions: casual workwear, date nights, and loungewear. I selected six staple pieces for each category and identified the accessories that complemented each occasion. This framework allowed flexibility and personalization, enabling me to create a wardrobe that suited my unique lifestyle and preferences.

Executing the Objectives
The objectives for this well-dressed woman goal involved decluttering my closet, defining the items I needed to purchase, and finding those pieces within a set budget. I started by decluttering my fall/winter wardrobe and invested in sweaters, dresses, and knit joggers from various brands. Additionally, I purchased a stunning pair of Chanel-inspired flats and incorporated timeless accessories to enhance my outfits.

In April, I repeated the process for my spring/summer wardrobe, focusing on linen pieces that aligned with the season. While I acquired most of the items on my list, I made a few adjustments to ensure the perfect fit and style. Ultimately, I integrated these new additions into my existing wardrobe, creating a cohesive capsule wardrobe for each season.

The Final Result
I am delighted to announce that I have successfully completed this goal within the allocated timeframe. I now have a well-organized wardrobe that brings me joy and makes getting dressed each morning a breeze. The mix-and-match nature of my classic pieces has simplified my styling process, allowing me to feel more confident and put-together. Remarkably, I achieved this transformation while staying within my budget, spending less than $1,500.

My journey towards becoming a well-dressed woman has been incredibly rewarding and enlightening. The process of decluttering, setting objectives, and curating my wardrobe has resulted in a personal style transformation that truly reflects who I am and boosts my confidence. It’s not just about the clothes; it’s about making intentional choices that allow us to present our best selves to the world.
